South Seas Data LLC (“South Seas Data,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect when you visit southseasdata.com (the “Site”) or contact us, how we use and share it, and the choices and rights you have. It applies to information we collect through the Site and through related business communications such as email and web forms.

By using the Site, you agree to the practices described in this Policy. If you do not agree, please do not use the Site.

1. Who we are

South Seas Data is a Colorado-based business-to-business provider of technology lifecycle, IT asset disposition, and third-party logistics services. We are the controller responsible for the personal information described in this Policy. Our contact details are in Section 14.

2. Information we collect

a. Information you provide to us. When you submit a contact or quote request form, send us an email, or otherwise communicate with us, we collect the information you choose to provide. This typically includes your name, business name, email address, telephone number, and the contents of your message or request.

b. Information collected automatically. When you visit the Site, our web server and the software running the Site automatically record limited technical information for security, troubleshooting, and operation of the Site. This may include your IP address, browser type and settings, device and operating system information, the pages you view, and the dates and times of your visits.

c. Cookies and similar technologies. The Site uses a small number of cookies that are necessary for it to function and to remember your privacy choices. We do not load analytics, advertising, or social-media tracking technologies unless and until you give consent. See Section 3 and our Your Privacy Choices page for details.

We do not intentionally collect sensitive personal information (such as government identifiers, health, biometric, or financial account data) through the Site, and we ask that you not submit such information through our forms.

3. Cookies, tracking, and your consent

The Site uses a consent management tool to control non-essential cookies and scripts. When you first visit, you are shown a banner that lets you accept or decline non-essential categories such as statistics and marketing. Non-essential cookies and third-party scripts are blocked by default and do not load until you give affirmative consent. We implement Google Consent Mode v2 with consent defaulted to “denied,” so no consent-dependent tags fire before you opt in.

You can change or withdraw your consent at any time using the cookie-settings control on the Site. Strictly necessary cookies — including the cookie that records your consent choice and cookies required for core Site functions — are always active because the Site cannot operate without them.

4. How we use your information

We use the information described above to:

  • respond to your inquiries and provide quotes, information, and customer service;
  • provide, operate, maintain, and secure the Site and our services;
  • communicate with you about our services and your requests;
  • detect, prevent, and address security incidents, fraud, and technical issues; and
  • comply with our legal obligations and enforce our agreements.

We do not use the information you submit to make decisions that produce legal or similarly significant effects about you through solely automated means.

5. Legal bases for processing (EU/UK visitors)

Where the EU or UK General Data Protection Regulation applies, we rely on the following legal bases: your consent (for non-essential cookies and related processing, which you may withdraw at any time); our legitimate interests in operating, securing, and improving the Site and responding to business inquiries; performance of a contract or steps taken at your request before entering into one; and compliance with a legal obligation.

6. How we share information

We do not sell your personal information, and we do not share it for cross-context behavioral or targeted advertising. We disclose information only as follows:

  • Service providers. We use trusted vendors that perform services on our behalf, such as website hosting and infrastructure, and email delivery. These providers may process information only as needed to provide their services to us.
  • Legal and safety. We may disclose information when required by law, subpoena, or other legal process, or to protect the rights, property, or safety of South Seas Data, our customers, or others.
  • Business transfers. If we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.

Web fonts and icons. All web fonts and icon assets used by the Site are served directly from our own Site rather than from third-party content delivery networks. As a result, simply viewing the Site does not transmit your information to outside font or icon providers.

7. Data retention

We keep personal information only as long as necessary for the purposes described in this Policy — for example, to respond to and follow up on your inquiry, to maintain our business and customer records, and to comply with legal, tax, and accounting obligations. Automatically collected server-log information is retained for a limited period for security and operational purposes and then deleted or anonymized. When information is no longer needed, we delete or de-identify it.

8. Your privacy rights

Depending on where you live, you may have some or all of the following rights regarding your personal information.

Colorado residents (Colorado Privacy Act). You have the right to: confirm whether we process your personal data and access it; correct inaccuracies; delete your personal data; obtain a portable copy; and opt out of the sale of personal data, targeted advertising, and certain profiling. We do not sell personal data or engage in targeted advertising or profiling that would require an opt-out. You also have the right to appeal a denial of your request, as described below.

California residents (CCPA/CPRA). You have the right to know what personal information we collect and how we use and disclose it; to request access to and deletion or correction of your information; and to opt out of the “sale” or “sharing” of personal information. We do not sell or share personal information as those terms are defined under California law. We will not discriminate against you for exercising your rights.

EU/UK visitors (GDPR). You have the right to access, rectify, erase, restrict, or object to processing of your personal data; to data portability; and to withdraw consent at any time. You also have the right to lodge a complaint with your local data protection authority.

How to exercise your rights. Submit a request using the contact details in Section 14. We will take steps to verify your identity before acting, and we may ask for information to confirm you are the person you claim to be. You may use an authorized agent to submit a request on your behalf where the law permits. We will respond within the timeframes required by applicable law. If we deny your request, you may appeal by replying to our decision or contacting us at the address in Section 14; if we deny your appeal, Colorado residents may contact the Colorado Attorney General.

9. Data security

We maintain reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, loss, misuse, or alteration, including encryption of Site traffic over HTTPS. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

10. International data transfers

We are located in the United States and process information in the United States. If you access the Site from outside the United States, you understand that your information will be transferred to and processed in the United States, where data-protection laws may differ from those in your country.

11. Links to other sites

The Site may contain links to third-party websites and social-media profiles that we do not operate or control. This Policy does not apply to those sites, and we are not responsible for their content or privacy practices. We encourage you to review the privacy policies of any third-party sites you visit.

12. Children’s privacy

The Site is intended for businesses and is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it.

13. Changes to this Policy

We may update this Policy from time to time. When we do, we will revise the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Site after an update means you accept the revised Policy.
